Privacy Policy

The Pomeranian International Registry is the data controller for the personal data described here. Contact details for the controller are on the contact page. The legal entity and postal address are placeholders until confirmed — send us the official details and they will be published here.

Account data: name, email address, telephone, postal address and country, optional kennel information.

Dog data: identity, microchip and pedigree numbers, Dog ID, date of birth, colour, parents, offspring, titles, health results, DNA information, photos and documents.

Usage data: consent decisions, and — only with your permission — anonymous usage statistics and map loading.

Derived data: approximate coordinates from the owner address, used only for an internal administrative map.

To operate the register and keep dog identities and pedigrees connected — performance of our agreement with you and our legitimate interest in a reliable breed register.

To secure accounts and prevent fraudulent or duplicate records — legitimate interest.

For maps and analytics — your consent, which you can withdraw at any time.

To answer privacy requests and keep an audit trail — legal obligation.

Dog records are public: identity, Dog ID, pedigree, ancestry, offspring, titles and the public owner display name. This is the purpose of the register.

Your postal address, email address, telephone number, private notes, uploaded documents and precise location are never shown on a public dog profile. They are visible to you, and to registry administrators when needed to handle a record or a request.

We use service providers for hosting, database, authentication and maps. They process data on our instructions only. Because the register is international, data may be processed outside your country; where that happens we rely on adequacy decisions or standard contractual clauses.

We never sell personal data and do not use it for advertising.

Account and profile data: for as long as the account exists, then erased on deletion.

Dog records: kept indefinitely, because pedigree history loses its value if it is broken. After an account is deleted, the dogs remain without an owner and personal identifiers are removed.

Consent records: kept for the duration commonly accepted as proof of consent, then deleted.

Audit trail: retained, but personal identifiers are removed once an account is deleted.

Cached coordinates: deleted with the account and refreshed when an address changes.

You have the right to access, correct, delete, restrict and object to processing, to withdraw consent, and to receive your data in a portable format. You may also complain to your local data protection authority.

Signed-in users can exercise most of these directly on Account → Privacy: download a full export, send a correction request, or delete the account. Everyone else can write to us via the contact page. We respond within one month.

Your name, address, telephone, email, kennel details, private documents and stored location are erased. Your dogs stay in the register without an owner so that pedigrees of other dogs remain intact, and ownership history shows “Previous owner (removed)”.
